Description:
The Administrative Coordinator supports the employed and vendor provider
contracting activities of Willis-Knighton Health System and is responsible for
independently assuring that Physician Network Administration is prepared to
respond to both informal and scheduled provider inquiries.
Responsibilities:
*Draft & Review contract amendments and other similar documents to ensure
compliance with contract provisions
*Update contract templates and analyze changes to standard
template provisions in contracts being negotiated
*Continually seek to improve processes and procedures within
department
*Coordinate and verify approvals and execution of all
contracts
*Identify opportunities and develop recommendations to
improve contract processes and management system (e.g. Simpliphy, SharePoint)
* Microsoft Office 365 products such as Excel, SharePoint,
Teams, etc. required
*Answer phones and direct all incoming calls to appropriate
party promptly and efficiently.
*Communicate and handle incoming and outgoing electronic communications on
behalf of Physician Network Administration.
*Review and prepare miscellaneous reports and documents for provider operations
meetings; assist with meeting follow-up documents and outgoing correspondence
as necessary.
*Assist in “pipeline” calendar management/preparation of semi-annual/annual
provider operations meetings, requiring interaction with providers and office
managers.
*Prioritize and manage multiple projects simultaneously, and follow through on
issues in a timely manner.
*Assists with provider expense report preparation, as necessary.
*Responsible for management of documentation preparation and processing
necessary to confidentially communicate provider contract changes to
appropriate WK personnel and external payroll administrator.
*Prepares all contract files for contract documentation and correspondence.
*Files all contract documentation and correspondence in provider contract files
on a daily basis.
*Records all contract changes in provider contract tracking database on a
weekly/monthly basis (e.g., compensation, work hours, contract provisions,
termination, FMLA, STD, LTD, medical licensure suspension, affiliation/stipend
agreement processing, etc.).
*Facilitates communication of provider changes to appropriate WK personnel
(e.g., office address and phone number, personal contact information, FMLA,
STD, LTD, medical licensure, termination, etc.)
*Confidentially informs appropriate WK personnel of provider contract changes
so that timely actions can be performed as necessary.
*Assists with drafting confidential correspondence to providers concerning both
general and contract inquiries.
*Evaluate excess/underutilization of provider general purpose time overages
(GPT) for payroll either deduction or payment.
*Confidentially meet with physician extenders at annual operations meetings to
review performance and discuss operations issues.
*Assist with process workflow recommendations across all WK departments
involved in processing employment/credentialing documentation.
*Facilitate streamlining of payroll management for all providers.
Qualifications:
• Associate or bachelor’s degree preferred or Experience equivalent.
• Software skills required, including Microsoft Word, Excel, Power Point.
